The Events Logistics Manager serves as the primary point of contact for all student inquiries relating to events, film shoots, and production permits. This position acts as the primary point of contact for all logistics, policies, and procedures as it relates to event planning, training, and management of student organizations and their leaders. This position serves as liaison to approve student film shoot insurance certificates and film shoot production permits for on- and off-campus locations.

Essential duties:

  • Process, plan and review, discuss, and finalize events hosted by student organizations; schedule campus space; liaison with campus support departments for all needs for the event; train and assign event tasks to student org event planners.
  • Review, process, and approve requests for student film shoots using on-campus locations; collaborate with staff/faculty for space approval as necessary; obtain insurance certificates for student film shoots using off-campus locations. Consult with university insurance brokers regarding film shoots/liability.
  • Manage university wholesale club cards accounts; evaluate receipts, reconcile statements, maintain available cash balances.
  • Process requests for student, staff, and faculty keys; facilitate distribution and return. Maintain all key holder records and solicit student key returns at the end of academic year. Maintain master key database for university keys; work with campus police for additional key and lock orders.
  • Analyze and process monthly chargeback report for event set-up forms.
  • Facilitate and manage outside group events during the summer semester as assigned.
  • Assist with department’s annual commissioning and commencement duties.
  • Act as website manager for department’s web pages.
  • Assist with campus seasonal decorating.

Qualifications:

  • Bachelor’s degree required in business related field.
  • 3-5 years of experience in event scheduling and management preferred; minimum of 3 years of experience in event logistics coordinating and planning required.

Candidates must have:

  • Typing skills (40 wpm) and demonstrated proficiency with Microsoft Word, Excel spreadsheets, Access databases.
  • Editing/grammar proficiency required; detail-oriented, diligent, highly motivated, excellent communication skills and the ability to deal effectively with students, employees and the public.
  • Essential: Ability to multi-task, prioritize, and manage multiple events and details at one time.
